One Alliance Companies is a growing full service commercial real estate firm located in Charlotte, NC that specializes in management, sales, leasing and maintenance of commercial real estate in the Carolina’s.  We are currently seeking an Assistant Property Manager to support the management team.  

Overview:
The Assistant Property Manager shall be a liaison between the property manager, tenants and vendors, including but not limited to fielding calls and emails, entering, tracking and updating service orders and various other administrative tasks. The ideal candidate shall be a self-starting, detail oriented, and energetic individual with great verbal and written communication skills.

Responsibilities:
The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position. The successful candidate will be able to demonstrate core competencies in the following areas:

  • Keep open communication with management team and provide support as needed
  • Creating and maintaining tenant, vendor & property paper and electronic files
  • Receiving and entering routine & emergency service orders from clients, tenants and building occupants
  • Dispatching preventative maintenance, routine and emergency service orders to third-party vendors
  • Scheduling property access with tenants and building occupants for technicians and third-party vendors
  • Tracking technicians and third-party vendors through service order completion
  • Closing service orders with exceptional attention to completion notes
  • New vendor set up including obtaining company W9’s and COI’s
  • Work with third-party vendors to obtain work proposals and estimates
  • Work with suppliers to obtain parts and material pricing
  • Organizing, receiving and distributing of keys for all managed properties
  • Coordinating tenant move-in’s and move out’s
  • Conference room scheduling upon tenant request for certain managed properties
  • Assist with periodic owner reporting
  • Assist with annual budget production
  • Assist with approving & coding invoices
  • Assist with accounts receivable, payables and property accounting
  • Assist with tenant lease and association bylaws administration
  • Assist with property inspections and photo correspondences
  • Assist with marketing and advertising the company services
  • Maintain positive communications with Owners, Tenants, and Vendors
  • All other duties as assigned and associated with the day-to-day management of client accounts

 

Desired Skills, Experience & Requirements:

  • High School Diploma required; Bachelor’s degree preferred
  • Experience reading and interpreting service orders and vendor agreements
  • Experience with dispatch and property management software programs preferred
  • Detail oriented, analytical and computer literate with proficiency in Word and Excel
  • Organized with ability to multi-task while keeping track of priorities and maintaining big-picture focus
  • A proven record of providing excellent internal and external customer service
  • Superior communications skills, both verbal and written
  • Valid driver’s license
  • Reliable transportation

 

Compensation:

  • Salary: Between $35,000.00-$40,000.00 per year
  • Benefits: None, unless the company offers such benefits to all employees
  • Paid Time Off: Six (6) Major holidays and Five (5) personal days
